Deadlines and Initial Orientations
Our virtual conference will take place November 19 – 21, 2021. Plenary presentations, symposia and large group presentations will all be streamed during the three days of the conference. Streamed presentations can be pre-recorded OR delivered live, in real time during the conference. For Plenary speakers, we recommend logging in to our virtual platform at least 20 minutes before the start of their presentation.
Benefits of Pre-Recorded Streamed Presentations
- You can edit out mistakes or sections that don’t quite work. If you record a presentation for future viewing, you can map out every second of content before you record. Plus, if you’re not happy with how you delivered a section, you can re-record it to try again.
- Add effects, graphics, and more in post-production. You can also edit the video content however you want. Add special filters, transitions, or other effects to the presentation.
- Feel less “stage fright”. Some people experience more anxiety when they speak in front of a live audience than when they record for a camera. That makes pre-recorded presentations a good choice.

Benefits of Live Streamed Presentations
- Emotional connections with the audience. It’s the “live” part of the channel that drives emotions. Your audience will watch you in real-time, connecting with you and your presentation style. Even your mistakes can help build this connection. If you’re able to laugh off misspoken words, you’ll come across as authentic and human.
- Live Q&A during your presentation (Plenary Speakers). The opportunity to answer questions during your presentation lets you tailor your content on-the-spot to the exact needs of your audience. This makes your presentation much more compelling. Note: Live presentations will be recorded.

Preparing and Presenting Your Pre-Recorded Streamed Presentation
While we recommend using PowerPoint to build your presentation, you can choose another presentation tool which you are more comfortable with, provided you are able to create a video of your presentation. Please consult the section within the right-hand menu titled: Pre-Recorded Presentations for details on turning your presentation into a video.
Uploading your Pre-Recorded Streamed Presentation
Once you’ve saved your pre-recorded presentation on your computer, you can submit it to us by uploading your presentation onto our Google Drive using the link here.
The deadline for uploading your Pre-recorded Presentation is October 30th, 2021 24:00 hrs MST. For the video submission, please ensure the shared settings are open or it can be sent via WeTransfer.
Presenting your Live Presentation (Plenary Speakers)
Our Conference Production Team will contact you prior to the conference, to review the details of your presentation. They will work with you to ensure your presentation is delivered without any issues or complications.
Questions & Answers:
- Attendees will be able to ask questions via a Q&A button at the top of their screen.
- Session Moderators will monitor the questions and hold all questions until the Q&A portion of the session.
- At the beginning of the Q&A portion, the Session Moderator will ask you to turn your camera on, so that participants may see who is answering their questions.
- It is very important that you do not exceed your allocated time for answering questions.
Preparing and Presenting your Streamed Session Live
We recommend using PowerPoint to build your presentation. Once ready, your presentation must be submitted to our Conference Production Team. They will contact you prior to the conference, to review the details of your presentation. They will also ensure you have the appropriate link to access your virtual session on our platform.
Once you’ve saved your powerpoint presentation on your computer, you can submit it to us by uploading your presentation onto our Google Drive using the link here.

Presenting your Streamed Session Live
Our Conference Production Team will work with you to ensure your presentation is delivered without any issues or complications.
Note: There will be a dry run for your presentation. The dry run will be held around the week of November 8th – 12th, 2021, the exact date and time will be confirmed at a later date.
When it is your time to present:
- Our Conference Production Team will ensure your presentation is on screen for participants to view and that you have mouse control to advance your presentation slides.
- During your portion of the presentation, attendees will see your slides and hear your audio.
- On your second slide, you must also provide a declaration of conflict of interest. If there are no conflicts, please indicate “No conflicts of interest to declare.” You will have control to advance your slides as needed We recommend having a clock nearby to help pace yourself, to see when you are at the mid-point of your presentation and when you are getting close to the end.
Additional helpful tips:
- Please do not include videos in your presentation. Videos depend on internet bandwidth to view and may cause a lag in the attendees’ experiences. If you have a video which you would like to share, our Conference Production Team can work with you to ensure it plays in the best quality possible.
